Flow Community - Events

Add your events to Polar Flow web service to get a fun and social way to prepare for them. Browse through other people's events and see what's happening there.

Event types

There are three event types: Open, Closed and Private. The table below shows who can join these events and what people can see about them.

If you have a private profile and join an event, your profile will remain hidden from the other participants. The other participants will only see your profile name and profile picture in the participants list.

How do I create an event?

  1. Log into Polar Flow.

  2. Go to Community > Events.

  3. Click Create New.

  4. Fill in the mandatory information. The fields marked with an asterisk are mandatory fields:

    1. Name – Give your event a name.
    2. Sport – Choose sport.​
    3. Description – Describe the event with a few words.
    4. Location – Give the town or address where the event is located at or zoom in on the location on map by clicking Select from map. Type in the town name in the location box.


      Then drag the red pin to the desired location.

       
    5. Start date - Add the start date for the event.
    6. Category - Add result categories. Add category name, for example, marathon. You can also add more categories, for example, half marathon. You can create subcategories for each category, for example, men and women. Now we have category marathon with two subcategories men and women, and category half marathon with subcategories men and women.
    7. URL – Enter the web address for the event, if any.
    8. Privacy – Choose the privacy level for the group.
    9. Invite participants - You can start inviting users right away! Search a Polar Flow user by name and click Invite.

     

  5. Click Create event.

How to upload a picture for your event

  1. Open the event where you want to add the picture.
  2. Hover your mouse over the default picture of the event. A pen icon appears.

  3. Click the pen icon.
  4. Click Browse.
  5. Choose the desired picture from your computer. The picture requirements are:

    • The accepted picture size is between 120-1280 pixels.
    • The accepted picture formats are: JPEG, JPG, GIF, PNG and BMP.
  6. Click Save.

Event admins

If you are an event admin, the instructions below are for you!

As an event admin, you are responsible for your group. Maintain your event and moderate the event discussions.

How can I become an event admin?

You can become an event admin in two ways:

  • By creating an event.
  • An existing event admin can add you as another admin.

What does it mean to be an event admin?

When you are an admin, you can:

  • Manage existing event participants.
  • Manage requests to join a closed or private event.
  • Ban and unban members from participating in the event.
  • Moderate posts.
  • Add announcements for the event.
  • Add or change the event picture.

How do I add and remove participants?

You can add a new participant to your event as follows:

  1. Open the event.
  2. Write the name of the new participant in the Invite participants field.
  3. Click Invite.

Can the privacy of an event be changed?

You can change the privacy of the event as follows:

  1. Open the event.
  2. Click the settings wheel.

  3. Choose Edit.

  4. Change the privacy of the event by clicking the desired privacy level in the Privacy area.
  5. Click Update event.

How can I create an announcement for event participants to see?

An announcement is a news message from the event admin, shown at the top of the event main screen, where it is clearly visible to all participants.

You can create an announcement as follows:

  1. Open the event.
  2. Write your announcement to the Announcement text area.
  3. Click Post announcement.
  4. Later, you can either edit the announcement, or remove it.

How can I remove an event?

You can only delete an event if you are an admin in the event you want to delete.

Proceed as follows:

  1. Open the event.
  2. Click the event settings wheel.

  3. Choose Remove.
  4. All participants are notified that the event has been removed.

If you are the only participant in the event and you leave the event, the event will be removed.

How do I react to reports?

All the posts and events reported to the event admin, are shown in the admin’s Flow account Notifications. Keep your event tidy by reading the reports, and remember to react to them!

To react to a report:

  1. Open Notifications.
  2. Select VIEW to open and acknowledge the reported post or event.

Event participants

If you are an event participant, the instructions below are for you!

How do I join an event?

You can freely join open events, and closed events by requesting to join. As far as private events are concerned, you will need an invitation from an event participant, before you can join.

To join an event:

  1. Find an event that you want to join.
  2. Click the event to open it.
  3. There are two alternative ways to participate an event:

    • If the event is an open event, click the Join event button. You are now a participant.
    • If the event is a closed event, click the Request to join event button. Your request will be sent to the event admin, who decides whether to accept or decline your request. You will receive a notification that tells you if your request was accepted or declined.

Posting a training session to an event

When preparing for the event you can post your training sessions to an event and share them with other event participants. You can post comments and training sessions. However, you cannot post activity summaries and tests, such as the fitness test or orthostatic test. Once the event has started you can only post race results, not training sessions anymore.

If your training sessions are public, the event participants can press the Analyze button to see an analysis of your training session or activity summary. The participants can also press the Relive button to relive your training session on the map, if the training session has been stored with GPS data. If your training sessions are not public, the Analyze button and the Relive button are not visible.

To post a training session to an event:

  1. Press the +Post a training session button.

  2. Choose a training from the list and click Select.
  3. If you want, you can write a comment in the Post to event text area.
  4. Click the Post to event button.

Posting a race to an event

After the event is over, you can share your race with other participants. Note that you can only post a result with the same sport the event is created.

If your training sessions are public, the event participants can press the Analyze button to see an analysis of your training session or activity summary. The participants can also press the Relive button to relive your training session on the map, if the training session has been stored with GPS data. If your training sessions are not public, the Analyze button and the Relive button are not visible.

To post results to an event:

  1. Go to Results tab.

     
  2. Click Post results and your session during the race.
  3. Choose your race category.

  4. Click Add result.

What if I see inappropriate content?

If you see inappropriate content, you can report it to the event admin.

To report an inappropriate post:

  1. Click the settings wheel icon for the post that you want to report.

  2. Click Report post.
  3. Select the reason for your report by clicking Please tell us why the post should be removed.
  4. Click Report.
  5. Your report will be sent to the event admin, who acts upon the message, if necessary.

To report an inappropriate event:

  1. Click the settings wheel icon for the event that you want to report.

  2. Click Report.
  3. Select the reason for your report by clicking Please tell us why the event should be removed.
  4. Click Report.
  5. Your report will be sent to the event admin and to Polar moderator, who removes the event, if necessary.

How can I leave an event?

To leave an event:

  1. Open the event.
  2. Click the settings wheel icon for the event.

  3. Select Leave.

If you are the only participant in an event and you leave the event, the event will be removed.

How do I search for events?

You can search for events by using the search fields in the All events area. You can search for events by the search criteria below.

  • Sport – You can search for events by the sport.
  • Location – You can search for events by the event location.
  • Name – You can search for events by text in the event name and description.
  • A combination of the above.

To search for an event:

  1. Enter the search criteria in the search fields.
  2. Press the Search button.
  3. The search results are shown in the All events area.

Events are searched from a 40 kilometer range of the selected location.

How do I edit the notification settings for an event?

You can edit the notification settings as follows:

  1. Open the event.
  2. Click the settings wheel icon for the event.

  3. Select Notifications.
  4. The Notifications screen is opened:
  5. Select the notification settings with the check boxes. The options are:
    • Event announcement is updated – If you check this check box, you will get a notification whenever the event admin updates the event announcement.
    • Someone comments on my post – If you check this check box, you will get a notification whenever someone comments a post that you have sent to the event.
    • Someone likes my post – If you check this check box, you will get a notification whenever someone likes a post that you have sent to the event.
  6. When done, click Apply.
